Shipping Integration

Configure Shiprocket in Pi-Square, create shipments from delivery orders, track them, and handle prepaid and cash-on-delivery orders.

The Shiprocket shipping add-on connects eligible Pi-Square delivery orders to your own Shiprocket account. You can create a shipment from an order without entering the customer, item, package, and payment details again, then open tracking from Pi-Square when tracking information is available.

You need an active Shiprocket account and a pickup location configured in Shiprocket. Shiprocket shipping, COD, and other service charges are separate from your Pi-Square subscription.

Before you configure the integration

Prepare the following in Shiprocket:

  1. Create an API user in your Shiprocket account.
  2. Keep the API user’s email address and secret key ready. These are not necessarily the same credentials you use to sign in to the Shiprocket dashboard.
  3. Add and verify the pickup location you plan to use.
  4. Copy the pickup location name exactly as it appears in Shiprocket.

Contact Pi-Square support if the Shipping Provider option is not visible for your business.

Add package details to items

Shiprocket needs package measurements to process a shipment. In Pi-Square, open each physical item in Items and enter:

  • height in centimetres
  • length in centimetres
  • breadth in centimetres
  • weight in kilograms

All four values must be greater than zero. When a shipment is created, Pi-Square uses the measurements saved with the order item. If they are missing there, it uses the current measurements from the matching inventory item.

For an order with multiple items, Pi-Square combines their measurements into one package: item weights and heights are added according to quantity, while the largest length and breadth are used.

Connect Shiprocket

  1. Open your business settings in the Pi-Square app.
  2. Make sure delivery is enabled for the business.
  3. Under the delivery settings, select Shipping Provider.
  4. Enter the Shiprocket API User Email.
  5. Enter the API user’s Secret Key.
  6. Enter the Shiprocket Pickup Location Name exactly as configured in Shiprocket.
  7. Select Save.

Pi-Square verifies the credentials and pickup location before enabling the integration. An “Invalid user email or secret key” message means the API-user credentials could not be authenticated. An “Unknown pickup location” message means the entered name does not match a pickup location returned by Shiprocket.

To change the credentials or pickup location, open Shipping Provider again and enter the secret key again before saving. You can also disable the integration from the same screen. Disabling it does not cancel shipments that have already been created.

Create a shipment

A shipment can be created when the order:

  • is a delivery order, not a pickup order
  • is no longer awaiting its required advance payment
  • has not been cancelled, dispatched, or delivered
  • does not already have manually added tracking URL
  • contains items with complete shipping dimensions and weight

Open an eligible order’s actions and select Create Shipment. Users need the Create Shipment permission to see this action. From the main Orders screen, users can also choose Create Shipments to process multiple eligible orders.

Pi-Square sends the order and package details to Shiprocket and stores the returned Shiprocket order and shipment identifiers. Complete courier selection, AWB assignment, label generation, pickup scheduling, and other fulfilment actions in your Shiprocket account as required.

Track a shipment

After a shipment has been created, open the order and select Track beside its status. Pi-Square opens the available tracking link. If a tracking link is not available yet, it displays the latest status returned by Shiprocket.

Tracking may remain unavailable until the necessary courier and AWB steps have been completed in Shiprocket.

How cash on delivery works

Pi-Square determines the Shiprocket payment method from the amount still pending on the order when you create the shipment:

  • Fully paid order: sent to Shiprocket as Prepaid.
  • Completely unpaid order: sent as COD, with the full pending amount to collect.
  • Partially paid order: sent as COD, with only the remaining balance to collect.

For example, if a ₹1,000 order has ₹300 recorded as paid, Pi-Square sends the shipment as COD with ₹700 to collect. Record payments accurately before creating the shipment so the courier is asked to collect the correct amount.

Shiprocket or the selected courier may apply COD fees, remittance schedules, serviceability rules, or order-value limits. These are governed by your Shiprocket account and courier arrangement.

Troubleshooting

Shipping Provider is not visible

Confirm that delivery is enabled and the shipping add-on is available for the business. You also need permission to manage business settings.

Shipment creation says measurements are missing

Open every item in the order and add a positive height, length, breadth, and weight, then try again.

Create Shipment is not available

Check the order eligibility conditions above and confirm that your staff account has the Create Shipment permission.

The COD amount is wrong

Review the payments recorded against the order. Pi-Square sends the amount pending at shipment creation time as the COD collection amount.

Tracking is not available

Open the order in Shiprocket and confirm that its courier, AWB, and pickup workflow has progressed far enough for tracking to be generated.
